What is a "Multifunctional" or MFP device?

In most office environments there are one or more large devices commonly referred to simply as "copiers".  Many of these machines are also networked printers and scanners.  They can even have hard drives which turn them into document servers.  These are "all-on-one" devices and they are "multi-functional" because they fill the roles of several different standalone components such as dedicated printers and scanners.

What multifunctionals are supported by UDOCX?

We currently have support for specific models from Xerox and Ricoh.  Supported Ricoh models are listed here and must have the optional browser component installed.  Xerox models are listed here and include all models based on the Xerox EIP engine with a touchscreen interface.  We are currently expanding our solution to include support for both Sharp and Canon models.  Other manufacturers will follow.

How does UDOCX integrate our MFP devices with Microsoft Exchange?

When a user logs into the MFP their credentials are used to access their Exchange mailbox for the following features:

  • Scan to Drafts Folder
  • Scan to Email
  • Scan to Fax
  • Print Agenda
  • Print Email
Scan to Drafts Folder digitizes a physical document into a PDF with OCR and delivers it to your Outlook drafts folder as an email attachment.  You may then compose your email and/or add additional attachments before sending.
 
Scan to Email digitizes a physical document into a PDF with OCR and provides access to your Outlook Address Book to select a recipient.  The email is transmitted with the current user as the sender, exactly the same way that it would be from the users workstation.  A copy of the outbound email will also appear in the Sent Items folder of the user.
 
Scan to Fax scans a physical document and turns it into a fax-compatible image.  It then gives the user access to their Outlook Address Book to select a fax recipient.  The fax is then transmitted by our OfficeFax cloud solution.
 
Print Agenda allows the current user to print their calendar items from the current date or any specific date.  This is useful when you need a hard copy of your appointments when traveling that is independent of a notebook computer or mobile device.
 
Print Email allows the current user to access their Inbox and print a hard copy of any message body, file attachment, or combination.
 
How does UDOCX integrate our MFP devices with Microsoft SharePoint?
 
When a user logs into the MFP their credentials are used to validate their access to Microsoft SharePoint resources for the following features:
 
  • Scan to SharePoint
  • Print from SharePoint
  • Scan to <SharePoint Destination>
Scan to SharePoint displays a list of all SharePoint document libraries that the current user has access to and allows the user to scan documents and store them into those libraries.  Document libraries that are inaccessible to the user are not displayed.
 
Print from SharePoint displays a list of all SharePoint document libraries and documents that the current user has access to and allows those documents to be printed.  Document libraries that are inaccessible to the user are not displayed.
 
Scan to <SharePoint Destination> is one or more administrator-defined Apps that may be created per-MFP or organization wide.  These Apps streamline the digitizing process by scanning directly to a predetermined SharePoint document librariy (example: Accounts Receivable).
